Can I upload a file directly from our HRIS into the platform?
You can push a file from your HRIS to our SFTP server. The platform automatically imports these files into the manage participants table. Imports can be in .xls, .xlsx, or .csv.
You may also manually import your census file to the manage participants table. Manual imports must be in .xlsx or .csv format.

Do the columns in my census file need to be in the same order as they are in the platform when importing?
No, columns can be in any order when imported; however, the column names in your file must be an exact match to the column names in the platform.

What information do I need in my census file import?
Employee ID is the only required column to be in every import file. Any other columns in the import file will update within the platform as long as the column headers match the demographic names in the platform exactly.
Columns in the import file that do not have an exact match in the platform will not import.
Common pieces of information include employee name, email, phone number, job title, location, department, supervisor name, birth date, hire date, and term date.

What happens if I add a person using the Excel import and that person is already in the platform?
The platform looks to the Employee ID field to check for duplicate participants in the system. If the employee ID does not yet exist, the person is added. If a match is found, the demographic items for that person are updated. If the person already completed a survey, the demographics would not change for the completed survey but will be updated for future surveys.

If I upload demographics with blank cells, will that override what is currently in the participant table?
Yes, any blank cells in the demographic columns will remove any previously imported demographics.
 
Can I change participant demographics after a survey is submitted?
You can change demographics after a survey is complete using the override report demographics function in the manage participants section of the PEOPLE tab.

Can I delete a demographic?
Demographics can be archived or inactivated in the demographics page, but not deleted. This removes them from showing up in the manage participants table and all reports. You can see all archived demographics at the bottom of the demographic page.
If you wish to reactivate these demographics at a later point in time, you can do so.
 
Why is "undefined/aN/undefined" in my participant table?
This value will appear in your date demographics in the participant table if there is a space in cells that look blank within your census file import. To remove this text in your participant table, you will need to reupload a list of these participants with no extra spacing in the blank cells.
 
Can I delete participants from the platform?
Participants can be deleted from the platform if they are not assigned to an open survey. This action cannot be undone.
Participants may be archived from the platform if they are not assigned to an open survey. Once archived, you can restore them manually or if their employee ID is imported into the system, they will be restored.

Can employees be assigned to more than one survey?
Yes, employees may be assigned to more than one survey.
