How to Manually Import & Export Participant Census Files

As a function of managing your participant list in the platform via the manage participants page, you occasionally may need to import and/or export those lists. When importing and/or exporting your participant lists, you can navigate freely throughout the platform while waiting for larger participant files to finish and receive a notification when complete. Additionally, you can retrieve your exported participant lists via view exports.

Participant Imports

To import a participant file, go to the PEOPLE tab, then manage participants.
When importing a participant file to the platform (e.g. for the purpose of bulk uploading to or editing participants in your participant list), you will receive the following prompt on the import page, allowing you to monitor its progress.
While your import is processing, you can navigate to other areas of the platform, and will receive a notification once it is complete (should you choose to log out of the platform, your file will continue importing until complete).
When importing participant files, remember that all column headers in your excel file (.xlsx) or comma-separated values file (.csv) must match exactly to the demographic column headers in the platform. Should they not match, the information in that column will not be imported into the platform. Employee ID is a required column. If this column is missing, the entire file will not import. If you need to modify the column headers in the platform you can do so in the demographics page of the PEOPLE tab.

Participant Exports

When exporting a participant file from the platform you will receive the following prompt, informing you the export process has started.
While your export is processing, you can navigate to other areas of the platform, and will receive a notification once it is complete (should you choose to log out of the platform, your file will continue exporting until complete).
You can retrieve your exported file for downloading via the view exports page (accessible via more options on the manage participants page).
Exported participant files are listed on the view exports page once processed with file name, type (“Participants”), export date (and time), and export status (“Processing” or “Completed”). From this page, you can locate your desired file to download (click the download icon). Exported files will remain available for you on this page for two weeks after creation, and then automatically removed. You also have the option to delete any of your files on this page prior to the automatic removal by clicking the trash can icon.
