Demographic Conversions

If demographics are not readily available in your HRIS, you can convert an available demographic into another, unavailable demographic. Example: Your HRIS has department codes but you want to see department names. Use the codes to convert into names.

Creating a Conversion

To create a conversion, you first need to set up your demographics in the demographics page of the PEOPLE tab. Review this article for instructions on creating demographics. Once all demographics are created, you can set up the needed conversions.
There are two types of conversions, the first is converting within a demographic and the second is converting from one demographic to another.

Converting within a Demographic

If you have demographic items that show up one way, but you want to view them in reporting another way, you can convert within the demographic. For example, your departments may be stored in your HRIS as abbreviations, but you want them to show up as their full name in reporting (Ss = Sales, Mkt = Marketing). Within your “Department Name” demographic, you will set up a conversion by selecting the conversion button (</>).

To convert within a demographic, you must be converting from and to the same type of demographic (string, date, number). If you need to convert from one demographics type to another (number to string), you must set up your conversion to convert from one demographic to another. These instructions can be found below.

 
After clicking the conversion button, you will be taken to the conversion builder.

From report group: Select the demographic you are converting from. In this example, it would be Department Name.

Condition: Choose one of the available conditions that best meets your need. Conditions are dependent on the type of demographic you are converting from. This example is a string demographic.

    • String options: includes, does not include, contains
    • Date options: includes, does not include, between, greater than or equal to, less than or equal to
    • Number options: includes, does not include, contains, between, greater than or equal to, less than or equal to

Items to convert: Type or select the demographic item names you need to convert to a new name. Items will only show up in the dropdown menu if you have your participants loaded into the PEOPLE tab. If not, type them in to create. In this example, you would type or select Mkt.

New item: This is how the demographic from the items to convert area will display in reporting. In this example, you would type "Marketing".

To add more conversions (example Ss to Sales), click the orange plus icon. When finished adding all conversions, click save. If participants are not loaded into the participants table when the conversion is created you will receive an error message upon hitting save. This is okay. Your conversion has been saved and will run each time a new list is imported into the platform. If you already have participants loaded into the PEOPLE tab, you can click run conversion now to run the conversion right away.

Converting From One Demographic to Another

To convert from one demographic to another, you must have both demographics created before you can create the conversion. Once they are created, click the conversion icon (</>) of the demographic you wish to create a conversion to. For example, you are creating a conversion from Location (the demographic that is sent over in your list) to Region (not sent over in your list), you would select the conversion icon for Region.

    After clicking the conversion button, you will be taken to the conversion builder.

    From report group: Select the demographic you are converting from. In this example, it would be Location.

    New item: This is how the demographic from the items to convert area will display in reporting for the new demographic. In this example, we are grouping locations to their region.

    To add more conversions (example Wisconsin to Midwest), click the orange plus icon. When finished adding all conversions, click save. If participants are not loaded into the participants table when the conversion is created you will receive an error message upon hitting save. This is okay. Your conversion has been saved and will run each time a new list is imported into the platform.

    Adding a Conversion via an Excel Template

    In addition to creating conversions in the platform, you can also create them using the conversions Excel export file. The export file can be helpful if there are a large number of items that need to be converted within or to another demographic. After clicking the conversion icon, click the blue download conversion button. Open the Excel file and follow the instructions within the file. Once finished, save the file to your computer, then upload into the platform using the upload conversions button.

    Automated Conversions

    From a Demographic

    There are a few demographics that will automatically convert if your census file import includes birth date, hire date, and term date. These demographics can be found in the automated demographics section of the demographics page and include:
      • Age groupings: Conversion based on birth date.
      • Tenure groupings: Conversion based on hire date (and term date for exiting employees).
      • Generation: Conversion based on birth date.
    These automated conversions are static, and unable to be changed. If you wish to create your own age/tenure/generation conversion, you must create a new demographic and set up your own conversion using the instructions above.

    From a Survey Item

    There are a few demographics that will automatically convert based on responses given to specific survey items from the question library.

      • Engagement index: Will auto populate if you are using the engagement survey template and include all six engagement items within your survey.
      • Intention to stay: Will auto populate if using the library question “I plan to be here 1 year from now”.
      • Remote or in office: Will auto populate if using the library question "Are you mainly working in the office or from home?".
