Customize Your Survey Communications

There are multiple touchpoints and areas of communication with your survey participants throughout the survey process. The first and last touchpoints should always be your internal communications. Review the best practices and templates articles to start building your communication plan.

The communications that participants receive while completing their surveys are also important as they guide your employees through the survey. This includes survey invitations (via email or SMS), a welcome message, survey instructions, and a thank you message. While People Element offers preset messaging, it is essential to customize these messages to align with your organization's communication needs. Take a closer look at the areas where customization options are available below.

Survey Notifications

Email

Email notifications can be customized for each survey within the survey settings.

  • Reply to email: This should be the email of an internal contact that can receive and respond to any replies that come from the survey email. This person should be familiar with the survey process.
  • Email subject: Edit to fit your survey type and need. It is best practice to include your organizations name.
  • Email message: Adjust the stock text to fit your needs and survey type. You can customize the header (Hello), body of the message, and the closing text (Please click the link...). You cannot edit the survey URL. There is no text editing such as colors, fonts, hyperlinks, etc.
  • Name toggle: Names are automatically pulled into the email based on their setup within the manage participants table in the PEOPLE tab. If you wish to exclude names from populating in the emails, turn of this feature by making the toggle grey.

SMS

SMS notifications can be customized for each survey within the survey settings.

  • SMS message: Adjust the stock text to fit your needs and survey type. You can customize the header (Hello), body of the message, and the closing text (Please click the link...). You cannot edit the survey URL. There is no text editing such as colors, fonts, hyperlinks, etc. SMS notifications do have a character limit of 120.
  • Name toggle: Names are automatically pulled into the SMS based on their setup within the manage participants table in the PEOPLE tab. If you wish to exclude names from populating in the message, turn of this feature by making the toggle grey.

Survey Instructions

The survey instructions will display in the participant's survey underneath the survey name. This can be seen in your survey preview.

  • Survey instructions is defaulted to blank. If you feel the survey needs instructions that can be viewed at all times, enter them here. Text cannot be edited for size, color, etc.

Welcome Message

Welcome messages are customizable for each survey and will show up prior to your employees entering into their survey. Edit within the survey messaging section of the survey settings. The welcome message will show up as center justified online.

  • Header: This populates before employee names and should be a short greeting.
  • Description: Edit the body of the welcome message to fit your survey type and organizational needs. Your description can include text editing such as font size, bolding, italicizing, bullet or number lists, and hyperlinks.
  • Name toggle: Names are automatically pulled into the welcome message based on their setup within the manage participants table in the PEOPLE tab. If you wish to exclude names from the welcome page, turn of this feature by making the toggle grey.

Thank You Message

Thank you messages are customizable for each survey and will show up after your survey participants hit "submit" at the end of their survey. Edit within the survey messaging section of the survey settings. The thank you message will show up as center justified online and include an animated photo that cannot be adjusted.

  • Header: Should be a short greeting.
  • Description: Edit the body of the thank you message to fit your survey type and organizational needs. Your description can include text editing such as font size, bolding, italicizing, bullet or number lists, and hyperlinks.
