Archive/Restore Participants

Want to clean up your participants table but don't want to delete them? Archiving allows you to maintain a record of these participants for future use.

Reports are not affected when people are archived; any responses already collected are still available in your reports.

Participants cannot be archived if they are assigned to an open or pending survey. Participants do not need to be unassigned from a closed survey to be archived.

Archive Participants

Go to more options (three vertical dots) in the manage participants page of the PEOPLE tab. Select archive/restore participants.
This will bring you to the archive/restore participants' page.
Select export to download a list of all participants within the manage participants table. For those you don’t want to archive, you can leave column E blank or delete them from the spreadsheet. All participants you want to archive from the platform should be kept in this spreadsheet with the text “archive” in column E. Do not change any column names or add/remove columns or sheets from the document.
Once you have finalized your file, save it and select import on the archive/restore participants page. You will be prompted to move forward with archiving participants.

Restore Archived Participants

On the archive/restore participants page, you will select the export archive button to download a spreadsheet of all archived participants. This spreadsheet can be used to restore participants back into the manage participants table.
For the participants you want to remain archived, you can leave column E blank or delete them from the spreadsheet. All participants you want to be restored from the archived list should be kept in this spreadsheet with the text “restore” in column E. Do not change any column names or add/remove columns or sheets from the document.
Once you have finalized your list, you will save it and select the import button on the archive/restore participants’ page. You will be prompted to move forward with restoring archived participants.
If a participant with the same Employee ID as an archived participant is imported back into the platform, either by manual import or an automated list transfer, this will automatically restore those participants back into the manage participants table.
